Coles Swallowed My $250 Vanilla Visa Gift Card

[Update 1]: Coles customer support updated that theit GC team has located the Visa purchase at $250 I've made.

TLDR:I tried to buy Coles Mastercard gift cards in store with my Vanilla Visa gift cards. A failed split payment caused $250 from one Vanilla card being deducted and not refunded back even after my purchase was cancelled, and I'm afraid that I may not get this money back.


I had some $250 and $100 Vanilla Visa gift cards and saw under the Coles Mastercard Gift Card deal where some users managed to buy Coles gift cards using Vanilla gift cards, so yesterday I decided to give it a shot.

At first, I bought a single $250 Coles gift card with a $250 Vanilla gift card at $244 via self-checkout, with no problem, ending up with a $250 Coles gift card and $6 left on the Vanilla gift card. Then, I wondered if I could split payments among multiple Vanilla gift cards, so I went to a manual register (i.e., with a staff member and a conveyor belt) and tried to purchase $750 worth of Coles gift cards using several $250 and $100 Vanilla gift cards. I asked to split the payment, the staff agreed, and I paid the first $250 via another $250 Vanilla gift card, which was approved, but she couldn't process further splits from the machine., so she called a supervisor for help.

The supervisor explained to me that I can't use gift cards to buy gift cards and proceeded to void the gift card items. (Maybe he meant Coles-branded gift cards specifically, but I didn’t insist since I could always try again.)

However, when I tried to use that same Vanilla gift card for another transaction, it was declined. I quickly checked on the Vanilla website and phone line and saw the $250 as a posted (not pending) payment. Even if they don't allow buying gift cards with gift cards, they shouldn't be charging me for nothing. I brought this up with the supervisor, who initially said it would be refunded. But when I clarified it wasn't pending, he went back to the register, retrieved the partial payment and tried (but failed) to void my $250 gift card payment. (I noticed his screen showed the "balance due" as -$250.00, clearly indicating that Coles owed me $250.) I asked for a receipt, but he said he couldn’t print one because it was a partial payment. In the end, he gave me the number for Coles Customer Support and advised me to contact them.


Earlier today, I did exactly that. Customer Care asked for my Vanilla Visa card number and its barcode, saying they'd escalate the issue to their "gift card team" to deactivate my Vanilla gift card within a few business days. I realised that if the store could retrieve the partial payment, I could try to recover my balance by purchasing $250 worth of groceries (e.g., six packs of $43 laundry capsules) under that transaction and immediately returning them. I went back to the store, but the register showed an error message and was closed. The same supervisor told me he couldn’t access it because IT had locked it. Another staff member mentioned the transaction couldn’t be removed, suggesting it might have been escalated, which I think is causing the block. I contacted Customer Care again to ask IT to remove the lock. Their response was essentially, “We’ll try.”

A few hours later, I returned to find the register unlocked. I asked another staff member at the service desk to locate the transaction. She logged in but couldn’t find the partial payment, as only finalised transactions (i.e., fully completed payments) were visible. She speculated that the incomplete payment might have been removed. (I really hoped it wasn't the case as it's too jerky for them to knowingly remove it)


As of now, I’ve provided all the information Coles needs to investigate and have also raised a dispute with Vanilla. It just sucked that they "swallowed" my $250 balance and can’t simply reverse it. Now, I’ll need to wait weeks for an outcome, with no guarantee of recovering my money if Coles Customer Care ultimately says they “couldn’t locate the transaction receipt.”

I’m kinda frustrated and desperate to get that money back. I’d really appreciate any advice or insight from anyone who’s dealt with something similar.

    also as much as it sounded cool, you are not saving money buying giftcard with giftcard.

    There's plenty of day-to-day payments, spend the GC elsewhere, you'll still save that $6.

    Even if you pulled off buying GC with GC, you are just speeding up your cash flow, and would only benefit you if you are really tight on money (i.e you unable to buy both GC all at once to get saving from both GC).

    After all you are just saving that $6 for a lot of trouble.

        Technically it was a $13 saving as the full price is $257. The cards have value, collect enough and you can tile a feature wall.

    Unless they voided the transaction by declining the signature the only way for a refund to be processed is for them to initiate it and you to swipe the card again. Now you have a complicated mess that many people will get involved in with everyone doing their best to totally confuse each other. Good luck.

    In my experience Vanilla Visa cards don't accept refunds so Coles will have to give you $250 back in some other form but good luck convincing them to do that.

      They've just located the receipt of my $250 payment. I'd be happy to call it a day even if they just offer a Coles supermarket GC.

    • I got a refund to a vanilla visa card that i used through paypal - it did take a couple extra days compared to normal but it came through

    Ask your gift card issuer where the money has gone. If it was paid to Coles and not sent back to the gift card issuer then ask Coles for the refund. If they refuse then that's theft. If the money was sent back to the gift card issuer ask them for the replacement card to the same value. If they refuse then that's theft.

    In my experience, trying to save a couple of bucks by playing four dimensional chess is more or less guaranteed to go bad.

    • Another consideration was hearing about the incidents where Vanilla GCs gets compromised. It was more than a few bucks but yeah I won't see myself doing this again soon.

    I had similar experience with Woolworth ( but not because of trying to buy gift card with gift card, the self checkout frozen in the middle of split payments.)
    The main cause of headache is refund cannot be done on gift card because of its nature
    What you can hope for is a $250 gift card from coles
    Raise the issue online or email with Coles support team. Front staff won't be able to help you
    I patiently waited a few days after providing transaction proof and got the money back in the form of gift card.

      My self checkout froze at Kmart after taking the money off my gift card. The manager ran the transaction again at a manned checkout and put the amount of the gift card through as cash.

        Yes, the store manager (if on site) may or may not help you. In OP's case, he can activate the card by pressing cash payment plus additional payment (if any). The lost partial payment is recorded for investigation. The used empty card can be left to him after the card is already activated. By the end of the day, the store account balance needs to be even.

        • Well in my case it was a digital only gc and they just asked me to show them the GC balance was 0.

          As the self checkout was frozen at a screen showing $10 was paid by GC.

    Thanks for sharing the story. Hope you will get your money back very soon. Last week, I used one $500 Vanilla Mastercard to buy 2 x $250 (Sold at $244 each) through self checkout. Vanilla Mastercard has $12 balance left.

  • last time I got a refund to Vanilla due to oos of an online order, I have to call them a few times to get it back.

    It took about 6 month until I received an email saying the refund was processed.

    Last year, $100 coles mastercard gift card got a payment error while I used post bill pay to pay my council fee. The $100 was charged by Auspost and I donot get any comfirmation email/sms or ref no. I double checked with my council they did not receive the payment either. Auspost call centre is useless and cannot locate the fund. Luckly I screenshoted it. Only thing I could do is filling the form to do a chargeback. Got the replacement gift card from Incomm after 5 months.

    Last few years, I at least purchased hundreds of $100 coles mastercard gift card to pay my council fee and health insurance even fine, because QLD coles normally only have point offer instead of 10% offer like other state. About 6 of them has issues or compromised. Incomm all fix/replaced it so I havenot suffer anay loss. Even one card only $14 was scamed but Incomm replaced it with $50 mastercard gift card. Incomm looks pretty legit. All you need is patient.

    Now I only use paypal link the coles mastercard gift card, then use paypal in post bill pay to pay my council fee. more reliable and can dispute with paypal quickly if same thing happened.
