And how much does a colour page cost to print?
Is your 9c/page the only charge you get for the printer? For that they supply toner and maint kits, repairs and supplying the unit for free at a guess. Who supplies paper? (normally its you, but some leases supply everything).
A lower per cost pages mean paying more up front for the unit or a fixed monthly cost for the unit and then a per page print.
a even lower cost would be to buy the unit yourself and pay for running costs. But go price some toner supplies and see what it would cost to print 10k pages, that $900/month might be looking pretty cheap for hassle free printing.
Depending on the print, colour inkjet maybe cheaper than colour laser

I’ll do it for 8.5¢.
Go to different printing companies and negotiate a price for x number of months.
Tell your boss to make a business case, then ask new guy to evaluate for best option. ie; in house, ask ozb, or keep paying 9c. Oh wait, you are the new guy :)
Ask a mate with a public sector job to print it at their work for you.
Do you need to be printing that many pages? Do they need to be in colour?
The way to reduce costs is two fold, a cheaper price per unit and or using less units.
Get your office to go paperless!
This. Better for the environment. Probably cheaper to give each staff member a tablet than printing endless copies of documents for each person every month as well.
Is that 10,000 hundreds of copies of a few documents?
If you always need 1000 identical copies of a pamphlet or something, then getting that printed at a press and mailed to you would possibly be cheaper.
Otherwise, why do these need to be printed at all?
Haven't worked in the field for a while, but I'm curious about the outcome:
- colour laser
- refillable inkjet
- serviced printer
Less downtime with a serviced printer as they come to you, but if the pot-refill inkjets are comparable cost wise, you can get a spare!
Colour laser has the massive CapEx
Serviced or refill inkjet, if down-time is a big deal, then stick with serviced, but make sure you compare like for like (there's no point going from 9c to 7c if your incident response time goes from 4 hours to 3 business days) … that's the sort of thing that they won't read, but if something goes wrong, they'll show you the door
as a side note, if it's 10,000 pages per month, it's a descent sized organisation … a few other considerations:
- if it's a leased device or just a pay per page
- leased is claimable on tax as 100% write off (outright purchase would have to be depreciated)
- if it's pay per page, as stated above, see if you can drop the SLA / service level response time, they'll make you look good, especially if you can drop the price at the same time
next question, is it follow-me printing (swipe to print)
Is it networked printer, set up with users printing to the IP address?
Is it USB printing or wifi printing?
Likely just a print to IP address
Are you locked into a contract with your current provider? you don't wnat to have to pay early termination 12 months into a 5 year term …
hvae a chat with your current provider, see if they've got alternatives, maybe they can down-size your device (or upsize for a minimal price difference)
I work in a small business.
We purchased a Konica Minolta C452 for about $4k and for 5 years they will fully maintain it.
We just pay for usage- 6.6c per colour and 0.066 B&W.
We print around 3000 colour / 4,000 B&W pages per month.
Had a couple of service calls, they have been really good..within the same day.
