Printer / Scanner Leasing Costs - Pay per Scan

Hi,

potentially this post could have gone in multiple categories but I have chosen this one, so hope it is relevant.

Could someone please tell me if you lease a large printer/scanner/copier if scan numbers are included in any pricing? I know some (maybe most) all inclusive plans include a cost per print where the cost of ink is taken into account - but do these type of lease plans also include the number of scans (say scan to email, scan to USB)?

As you are not using up any consumables I wasn't sure if scan numbers are an extra cost variable or not. Maybe there is a cost for the wear and tear of the scanning moving parts, not sure.

I want to use a friends printer/scanner/copier to scan a whole pile of documents but I don't want him to end up with an extra cost on his account (he is currently overseas and doesn't know the answer himself).

  • The printers we have in site office are monthly rent + however many toner cartridges & toner waste units we go through. No further costs, no scan costs, no added maintenance or cleaning costs.

    But that doesn't help you nor will any one else here. You need to find out what his contract plan says or ask the company as it may be different.

    • So you could print a million pages of solid black if you wanted? Why don't you use the printer to print flyers 24/7.

  • Never seen a plan with metered scanning, since it's not using up a consumable like printing does.

    Usually the leasing company has their sticker on the machine - you could call them to confirm, but I don't think it'll be an issue for you at all.

  • Thanks for both of your responses so far. In previous jobs I can not remember having to pay extra for scanning but I wasn't sure if that was the norm or not.
    I know that there are a lot of different contracts/agreements around but I just wanted to check others experiences. Unfortunately there are no service stickers as a guide but I will sort it out in the morning. Thanks again.

  • The 'normal' plans for these devices normally fall into either a monthly rental cost + consumables used or a fixed cost per print arrangement with them supplying everything.

    I haven't seen a plan charge per scan as such.

    Surely the bill would be emailed to them so easy to find out?

  • At my workplace we have used at least 4 or 5 different companies regularly and none of them charged for scanning. The only charges were rental and print/copy costs; toner replacements were included in the plan. Could just be the plans we chose to sign up to though, so best to see if your friend can source the original contract to double check.

  • I look after the MFD fleet for a large government agency, we don't pay per scan but we do pay per page of printing as well as support for the backend software managing the fleet (papercut etc). I can't really think of where it'd ever make sense to be charged for this outside of if you were leasing the MFDs and doing some exceptionally huge amount of scanning that'd exceed the normal sort of fair wear & tear a device would be subject to - and I'm constantly amazed (and horrifed, and depressed) at the sheer volumes of crap people are still printing in 2022 post-pandemic just as BAU. Maybe if you're utilising some sort of digi-fax to scan & fax, or perhaps as you noted there's a scan to email service premium?

    We definitely get showback reporting on how much people ARE scanning, as well as breakdowns of colour vs b&W etc, but yeah it's definitely not something we are billed for it's just reporting info.
